Minutes of Witham St Hughs Allotment Committee meeting held on Tuesday 3rd March 2026 at 7.30pm, in the village hall.

1. Welcome & Apologies
The Chair welcomed everyone to the meeting.
Apologies were received from Clare Shepherd, it was Resolved to accept the reason for absence and the apology – all agreed, show of hands.
2. TO RECEIVE DECLARATIONS OF INTEREST IN ACCORDANCE WITH THE LOCALISM ACT 2011 – being any pecuniary interest in agenda items not previously recorded on Members’ Register of Interest and requests for dispensations.

3. Notes of the Allotment Committee meeting held on Tuesday 28th October 2025 to be approved as minutes.
It was Resolved to approve the notes as minutes and a true record, All Agreed – show of hands. Signed by the Chair.
4. Clerks update & correspondence – to Resolve to approve any subsequent actions.
The Clerk made comment
- A wildlife camera had been purchased, a plot holder has offered to install along with signage
- The parish council had approved the fees to clear the vacant plots at a cost of £90 per half plot.
- The boundary hedge and area around the carpark have been cleared – thanks were passed onto the contractor FWR Popplewell & Son.
- All invoices for 2026/2027 had been issued with payments due by 31.01.2026.
- Due to the wet winter, the plot holders had requested a bonfire for April, as they hadn’t been able to arrange one. After discussions it was Resolved to allow a controlled bonfire before the end of April 2026 – date to be advised.
5. Review of the Allotment Plots Terms & Conditions.
After discussions it was Resolved to approve a revised set of Terms & Conditions – to be circulated. All agreed – show of hands. Action Clerk.
6. Date & Time of Allotment Inspections & next meeting.
Inspections - Tuesday 5th May 2026 6.30pm @ Allotments.
Meeting – Thursday 4th June 2026 @ 7.30pm @ village hall.
