Project Management Policy

The purpose of this policy is to set out the procedure for Councillors to oversee projects from beginning to end. To take ownership of the works ensuring that any third-party contract has been completed to the required specification and quotation.

•   A minimum of 2 Councillors will be assigned to oversee each project, owning it from beginning to end.

•   Standing Orders and Financial Regulations must be adhered to regarding the issuing of contracts.

•   The same councillors will then meet with contractors asked to quote for the work to be carried out, to discuss the project.

•   The quotes will be considered, approved and contractors appointed by full council.

•   The same councillors will be the point of contact for third party contractors throughout the project.

•   The same councillors will inspect the works during and on completion of the project, ensuring that the work carried out has been as per the quote.

•   They will then update full council as required.

•   Should one of the appointed councillors be unable to attend a meeting with the contractors, at least 1 of the original appointed group will be asked to attend along with another Councillor, ensuring continuity.  

•   Invoice’s will then be paid in line with Financial Regulations
