Minutes of Witham St Hughs Allotment Committee meeting held on Thursday 6th June 2024. at 7.00pm, in the village hall.
Present Cllr Karen Harrison, Cllr Derek Fletcher, Cllr Tim Henson, Stuart Traves & Claire Shepherd - Cargill Representatives, & Vicky Trotter.
Rachel Popplewell – Parish Clerk.

Public Comments
Comments were received regarding the recent anti-social behaviour at the allotments and the vandalism of the plots. The new incinerators have been flattened so cannot be used, shed have been tampered with and solar lights broken.
The parish clerk has reported the incidents to the police. Residents are advised to report anything by telephoning 101.
CCTV signs are to be put up along with cameras around the site.

1. To Elect a Chair for the ensuring year 2024/2025.
Cllr Fletcher nominated Cllr Harrison, seconded by Cllr Henson – All agreed, show of hands.
2. Welcome & Apologies
The Chair welcomed everyone to the meeting.
Apologies were received from Electra Pearce – Committee member.
3. TO RECEIVE DECLARATIONS OF INTEREST IN ACCORDANCE WITH THE LOCALISM ACT 2011 – being any pecuniary interest in agenda items not previously recorded on Members’ Register of Interest and requests for dispensations.
Cargill representatives – Stuart Traves & Claire Shepherd.
Vicky Trotter – plot holders.
4. To appoint the Liaison Officers for the year 2024/2025.
It was proposed to appoint Electra Pearce & Dawn Moll as the Liaison Officers – all agreed show of hands.
The Chair thanked Vicky Trotter (out going liaison officer) for all her support.
5. Notes of the Allotment Committee meeting held on Tuesday 26th March 2024 to be approved as minutes.
It was Resolved to approve the notes as minutes and a true record, signed by the Chair. All Agreed – show of hands.
6. Clerks update & correspondence – to Resolve to approve and subsequent actions.
The vacant plots at the allotment needed to be strimmed.

7. Review plot inspections from 30.04.2024 and to set date for the next inspections.
Next plot inspections Tuesday 2nd July 2024 at 6pm.
Committee will review the plots that had been issued letter and the reason for the letter and note any improvements.
Action Clerk.
8. Report from Liaison Officers to include.
a. Vacant Plots – 3 half plots, 2 full plots.
b. Rubbish remaining on the plots – following the last inspections, more plots have been vacated leaving waste behind, which includes broken glass, plastic pots & wood.
Photos of the remaining rubbish is to be taken, with quotes to be sourced thereafter.
c. To discuss the Anti-social behaviour at the Allotment Plots.
