Minutes of Witham St Hughs Allotment Committee meeting held on Thursday 8th August 2024, in the village hall.
Present Cllr Karen Harrison, Cllr Derek Fletcher, Stuart Traves Cargill Representatives, Dawn Moll & Electra Pearce.
3 members of public.
Discussion around the fire pit and incinerators. Possibly need to look to relocate in a different position or perhaps build a fire pit.
Will review at the plot inspections in September.
Agenda Items
1. Welcome & Apologies
Apologies were received from Claire Shepherd; it was Resolved to accept the reasons for absence and the apology – All agreed, show of hands.
Tim Henson, Parish Councillor absent.
2. TO RECEIVE DECLARATIONS OF INTEREST IN ACCORDANCE WITH THE LOCALISM ACT 2011 – being any pecuniary interest in agenda items not previously recorded on Members’ Register of Interest and requests for dispensations.
Cargill representatives – Stuart Traves.
Dawn Moll & Electra Pearce – plot holders.
3. Notes of the Allotment Committee meeting held on Monday 6th June 2024 to be approved as minutes.
It was Resolved to approve the notes as minutes and a true record, All Agreed – show of hands.
4. Clerks update & correspondence – to Resolve to approve any subsequent actions.
The clerk confirmed that all the vacant plots have now been strimmed.
5. To review the plots that have been issued with warning letters following the last inspections
All plots received emails outlining issues with timeframes to resolve.
After discussions it was Resolved that
• All Plot holders that have not addressed the issues highlighted and with no further communication will be issued with eviction notices.
All agreed – show of hands.
6. To discuss ongoing rubbish issues and agree a solution
Various solutions were discussed.
The possibility of a permanent skip which would increase plot fees being a solution.
The solution proposed and agreed was to have a day where plot holders would get together and remove rubbish off the vacant plots. 17th August was agreed.
The Clerk to arrange for collection of the rubbish on the same day. Plot holders being instructed not to add to the pile until instructed that they can do.
7. Date and time of next Allotment Inspection & meeting
Inspection will take place 5th September at 6.30pm
