Minutes of Witham St Hughs Allotment Committee meeting held on Tuesday 5th November 2024 at 7.30pm, in the village hall. 
 
Present Cllr Karen Harrison, Stuart Traves & Claire Shepherd - Cargill Representatives & Dawn Moll.

1.    Welcome & Apologies
Electra Pearce & vicky Trotter – Committee Members, absent. 
 
2.    TO RECEIVE DECLARATIONS OF INTEREST IN ACCORDANCE WITH THE LOCALISM ACT 2011 – being any pecuniary interest in agenda items not previously recorded on Members’ Register of Interest and requests for dispensations.

3.    Notes of the Allotment Committee meeting held on Thursday 8th August 2024 to be approved as minutes.
It was Resolved to approve the notes as minutes and a true record, All Agreed – show of hands. 
 
4.    Clerks update & correspondence – to Resolve to approve any subsequent actions.
The clerk made comment that there are 7 half plots & 1 full plot available. 
Plot 10b will be handing the plot back at the end of this year 31.03.2024. 
Plot holder 23 would like to take plot 25A, which is currently vacant.          Action Clerk.            
 
5.    Report from Liaison Officers. 
Advertising of the plots was discussed as now is good time to take on a plot and get the ground ready. Facebook post to advertise.                                      Action Clerk.
 
6.    To set a date for a controlled bonfire.  
After discussions it was Resolved to have a controlled bonfire on Saturday 16th or Sunday 17th November – weather dependant. Bonfire will be supervised, with only wood from the allotments allowed to be burnt on the bonfire. Bonfire to be advertised on Facebook, beforehand. 
 
 
7.    Update on front ditch from Cargills.
Comments were received from Cargills regarding the front ditch, adding that it would be cleared out of the rubbish and the concrete blocks removed, which will help the drainage for the allotments. 
 
8.     Date and time of next Allotment Inspection/meeting
Tuesday 14th January 2025 at 7.30pm. 
 
Items for the next agenda – Plot fees 2026/2027 & review the tenancy agreement.
